The Challenge
Every quote you write in Slack is a 60-second piece of skilled work that creates a multi-day risk of losing the customer.
After you post the price and timeline in Slack, the lead still depends on your manager remembering to call or text the customer back. When they are on the phone, with a customer, or simply busy, the quote silently goes cold — sometimes within minutes of you doing the pricing work.
Every inquiry lives inside a Slack thread. There is no single list of who came in this week, who got a quote, who responded, and who never heard back. Leads that fall through have no trail you can follow up on later.
Each new request asks you to remember what you charged the last time you saw a similar module on a similar car. With history scattered across the Slack channel, every quote is rebuilt from scratch instead of leaning on what you have already priced six times before.

Two weeks from kickoff to a live system, with daily check-ins and a recorded walkthrough at the end.
Kickoff call, brand assets handover, Slack channel access for the request history export, and confirmation of form fields and intake flow.
Branded intake form built with your logo, colors, and shop photos. Airtable lead database wired up with status pipeline views — New, Quoted, Sent, Won, Lost.
Form-to-Slack scenario built in Make.com, "Send Quote" action wired up, Twilio SMS delivery configured, and every outbound message logged back onto the lead record.
One-time scrape of your Slack request channel, AI extraction of past quotes into a structured price reference table, and live price-match shown in Slack whenever a new request lands.
When a job is marked complete on the lead record, the customer receives a friendly SMS with a one-tap link to leave a Google review for your shop.
End-to-end testing on real numbers, go-live with both garages, recorded Loom walkthrough, written SOP, and a seven-day post-launch support window for fixes and tweaks.

Your investment is structured across project milestones as outlined below.
Phase 2 — AI-drafted quote suggestions and a two-way SMS dashboard — is scoped separately after Phase 1 results.

The project price covers everything through launch. Most clients run the system independently once it's live — it's built to be low-maintenance by design. For teams that want ongoing support as the system evolves, that option is available.

Our Guarantee
Once Phase 1 is live and your shop has run a few weeks of leads through it, the natural next step is an AI assistant that drafts the full quote for you — proposed price, timeline, and a ready-to-send SMS based on your historical pricing and the specific car and module in the request. You review and approve in one click. I will scope that phase separately after we see Phase 1 in action.
Terms of Engagement
Scope of Work
The Service Provider will deliver the project as described in the accompanying proposal document titled "Lead-to-Quote Automation System — Phase 1" for Maxim Garage. The scope of work, deliverables, and timeline are defined in the proposal and incorporated by reference into this agreement.
Any work beyond the defined scope requires a written change order approved by both parties before work begins. Change orders will include updated timeline and investment.
Payment Terms
Total project investment: $1,000 CAD. Payable in milestones as follows:
- Upon signing: $500 CAD (50%)
- On completion: $500 CAD (50%)
Invoices are due within 5 business days of receipt. Third-party subscriptions used to run the system — Tally, Airtable, Make.com, Twilio, OpenAI — are billed directly to the Client at cost and are separate from the project fee. Combined ongoing subscription cost is estimated under $80 CAD per month at current volume.
Client Obligations
To ensure timely delivery, the Client agrees to provide the following:
- Slack workspace access — read-only export of the request channel for the price memory build.
- Logo, brand colors, and two to three shop photos for the branded intake form.
- Confirmation of intake form fields based on the existing Google Form.
- A Twilio-eligible phone number provisioned in your region, or written authorization for Mindor to provision one on your behalf.
- 30-minute kickoff call to confirm pricing assumptions, ETA ranges, and SMS tone.
- Designate a primary point of contact for testing and approvals.
- Respond to review requests within 2 business days.
Delays caused by late access or materials may extend the project timeline accordingly.
IP & Confidentiality
Upon receipt of full payment, custom work product transfers to the Client. Service Provider retains rights to general methodologies. Both parties agree to keep confidential any proprietary information shared during this engagement (survives 2 years).
Support, Termination & Disputes
Post-launch maintenance included as described. Either party may terminate with 7 days written notice. Disputes addressed through good faith negotiation, then binding arbitration.
Acceptance
By signing below, both parties agree to proceed with the scope, investment, and terms outlined in this proposal.
